Privacy Policy

VoltRoster helps coaches run their teams. To do that we store information you choose to give us. This page explains what we collect, why, and what we will never do with it.

What we collect

• Coach accounts. Your email address and a password. We store the password as a one-way hash, which means we cannot read it.
• Team data you enter. Player names, jersey numbers, positions, schedules, attendance, dues status, and any notes you add. If you choose to record emergency contacts or medical notes, those are stored too, and they stay private to your account.
• Parent sign-ups. When a parent joins through your team link, we store the name, phone number, and player name they enter.
• Payments. Subscriptions are processed by Stripe. We never see or store your card number.

Children's information

VoltRoster accounts are created by adults: coaches and parents. We do not knowingly collect information directly from children under 13. Information about young athletes (a name, jersey number, or position) is entered by their coach or by their own parent. Coaches: get a parent or guardian's permission before adding a child's details, and only record what you actually need to run the team.

What parents can see

A parent who joins with your team code sees the team name, the roster (names, numbers, positions), and the schedule. That is the full list. Emergency contacts, medical notes, payment records, and other parents' phone numbers are never shown through a join code.

The AI tools

When you use Sparky or another AI feature, your question and a summary of your team data are sent to an AI provider (currently Google) to generate the answer, then discarded from the request. Keep medical details and other sensitive notes out of AI questions. The AI's answers are suggestions for you as the coach, never medical, legal, or financial advice.

What we never do

• We never sell your data or your players' data.
• We never share rosters with advertisers.
• We never contact your parents or players for marketing.

How we protect it

Connections use HTTPS. Passwords are hashed. Server data files are blocked from direct web access. Repeated failed sign-ins lock the account temporarily. Your browser also keeps a local copy of your team data so the app works offline; signing out of a shared device clears your session.

Keeping and deleting data

We keep your data while your account is active. Email owner@voltroster.com from your account email and we will delete your account and team data. Parents can ask their coach to remove them, or email us directly.
